What personal data we collect and why we collect it

RockFit Online Membership

When you register for a RockFit UK membership via https://rockfit.org.uk you agree to RockFit UK collecting the information contained within said registration form and retaining this information for the duration of the membership. We collect this information at registration and make it accessible to all members to enable them to update and remove all criteria, including information relating to health at any stage.

A member's data is used to facilitate membership online and to inform us of any health aspects that could affect a user's eligibility for membership. A member's data is deleted upon cancellation of their membership. All membership information is held purely for the purposes of RockFit Online membership and is not used in any other way or by any third parties.

Membership Payments

RockFit UK does not record or hold any data relating to customer debit or credit card details - all transactions are processed by Stripe and details on how user data is processed can be found here. By signing up to a RockFit Online membership you agree to an ongoing monthly repeat payment agreement to continue access to membership services. This agreement can be cancelled at any stage by logging in to RockFit Online and visiting the Subscriptions page within your Account. Alternatively please email membership@rockfit.org.uk to request cancellation - we aim to honour all requests with 24hours.

Contact Forms

When site users complete contact forms on this site we collect the data shown in the contact form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

The information contained within the contact form is held for the duration of the enquiry or up to a maximum of 30days before removal from this site.

Contact forms will be sent to the site administrator via email for the purposes of carrying out their normal duties. All contact form email data is deleted once actioned to the relevant party.

Cookies

When you complete a form on this website you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you complete another form or login. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Analytics

We use Google Analytics in conjunction with rockfit.org.uk for aggregated, anonymized website traffic analysis.

In order to track your session usage, Google drops a cookie (_ga) with a randomly-generated ClientID in your browser. This ID is anonymized and contains no identifiable information like email, phone number, name, etc. We use GA to track aggregated website behavior, such as what pages you looked at, for how long, and so on.

This information is important to us for improving the user experience and determining site effectiveness. If you would like to access what browsing information we have - or ask us to delete any GA data - please delete your _ga cookies, reach out to us via this form, and/or install the Google Analytics Opt-Out Browser Add-On.

Who we share your data with

All membership and site user data is used and maintained solely by RockFit Uk. We do not offer, sell or supply your details to any third parties other than in the assistance of normal expected duties - for example a merchandise purchase may involve delivery by a courier and in that instance the courier will be provided the delivery location as is normal in this scenario.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

All membership data is retained for the duration of said membership and is deleted when cancelled.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.

Additional information

How we protect your data

All data is held securely within a dedicated server protected by all current security measures, including a 256bit SSL encryption. All transactions are processed securely with end to end encryption and we employ a strong password policy throughout the site. Antivirus measures along with local and remote Firewalls ensure maximum security of all website data.

What data breach procedures we have in place

Should a data breach occur we have procedures in place to inform any and all affected users of the breach, the reason and cause for the breach, and the solutions undertaken to resolve the breach. We aim to contact any affected users within 24hours of becoming aware of any such breach that would threaten the integrity of our user data.

What third parties we receive data from

We receive various font collections via Google Fonts for the purposes of a consistent and efficent web experience. For the purposes of facilitating membership transactions certain encrypted data will be supplied to the payment processor (Stripe) to enable the transaction. Once a transaction is complete rockfit.org.uk will be notified by Stripe to enable membership inception. No other data is requested by this website from any other third party.

What automated decision making and/or profiling we do with user data

All user data collected by this site is used solely by RockFit Uk only to facilitate the carrying out of expected membership duties and improving the user experience at rockfit.org.uk. In no instances are users profiled or categorised other than by type of membership.
